Qualifications

Bachelor’s degree or appropriate certificate of training preferred.

Excellent professional etiquette, human relations and communications skills required.

Proficient in Microsoft Office products, specifically Outlook, Word, Excel, and PowerPoint.

Ability to learn a variety of computer software and applications.

Excellent organizational skills, detail oriented and ability to prioritize.

Excellent verbal and written communication skills.

Excellent proofreading and editing skills.

Excellent customer relations skills.

Capable of multitasking; strong time management.

High level of confidentiality required.

Essential Job Functions

  1. Provide administrative support to the Executive Director, Planning and Operations. Manage and schedule appointments; arrange, coordinate and schedule meetings, attend staff meetings, organize necessary materials, prepare and manage correspondence, invoices and reports; develop and maintain orderly files both digital and paper. Complete travel arrangements and conference registrations.
  1. Ensure the efficient and smooth day-to-day operation of Operations & Planning. Provide clerical support to staff including maintenance, custodial, grounds, transportation and information systems. Responsible for preparation of requisitions, keeping of records and ordering of supplies. Process and manage related activities and files to include digital files of invoices, maintain purchase orders and usage data, support campus building and maintenance projects, operations work order files and schedule pest control monthly and as needed.
  1. Develop and implement office procedures and suggest more efficient/effective ways to perform tasks.
  1. Greet students and guests and assist them with their needs, respond to queries in person, via telephone or email, answer and direct emails and telephone calls, open and process daily interoffice communications.
  1. Maintain inventory of Meridian Technology Center including identify and tag all inventorial equipment, print and distribute annual inventory reports for each area to confirm inventory in their areas, complete and process inventory adjustment forms by adding/deleting inventory items from database and preparing monthly surplus list report for board approval.
  1. Assist staff and coordinate with transportation in the reservation of fleet vehicles.
  1. Assist other departments with office coverage and clerical support as needed.
  1. Provide switchboard and front desk coverage for lunches, breaks and longer periods as needed.
  1. Reserve rooms and prepare event sheets as requested.
  1. Maintain office supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies.
  1. Purchase furniture, equipment, and furnishings and assist with campus-wide interior decorating to include campus signage, room changes, space planning and material and finish selections.
  1. Must be able to occasionally lift as much as 25 lbs. (copier paper and training materials).
  1. Learn new technologies as they are adopted and attending educational workshops to improve skills over time.
  1. Utilize work time efficiently between 7:30 a.m. and 4:30 p.m. and report any exceptions to the Executive Director, Planning & Operations.
  1. Promote Meridian Technology Center, its programs, and employees at every available opportunity.
  1. Perform other tasks as assigned by the Executive Director, Planning & Operations or Superintendent.

 

Physical  Demands:

This is generally a sedentary role; however, some filing is required. This would require the ability to lift files, open filing cabinets and bend or stand as necessary. Must be able to occasionally lift items weighing as much as 25 pounds.

 

Standards of Performance

The Secretary, Operations & Planning will be evaluated on the previously listed responsibilities and these evaluations will determine salary increases and career advancement possibilities.
