Event Support Specialist

Primary Function

Description of Duties: Responsible for event venue configuration for internal and external clients for all campus venues (with the exception of the Hudiburg Center and the Atkinson Heritage Center), and is responsible serving as Student Union evening liaison for visitors and clients. Under direct supervision of the Event Coordinator, support events in all campus venues for both internal and external clients, with the exception of the Hudiburg Center and the Atkinson Heritage Center. Serve as liaison to student and clients present in the Student Union after 5:00 p.m. until closing. Provide support for event services in setting up venues including chairs, tables, stages, etc. Follow established timelines for each event to ensure adequate scheduling and coordination of support staff requirements. Ensure event venues are configured in a timely manner consistent with venue guidelines and client preferences. Respond promptly to email and phone inquiries regarding venue availability, venue pricing and availability of ancillary equipment (room configuration, a/v support, etc.). Assists the Event Coordinator in maintaining files and records in a manner that supports event scheduling and event coordination. To the extent practical, ensure that discretion is maintained when discussing event information with staff, external clients and resource providers. Regular attendance and punctuality are essential functions of this position. Other duties as assigned. Perform other related duties as assigned. Work under the direction of the Event Coordinator.

Required Skills

Minimum Qualifications: High School Diploma or equivalent. One year of office, clerical or customer service related experience.  Good communication, interpersonal and organizational skills. Proficiency with computers and MS Office (Word and Outlook). Excellent customer service skills. Occasional lifting and carrying items up to 50 lbs.; infrequently twisting or bending at the waist or reaching overhead; frequently traveling between buildings on campus; frequent communication with clients, students, faculty and other staff members either in person or by telephone; standing or walking; sitting at a desk or workstation using a computer display, keyboard, and mouse; weekend and evening hours; some outdoor coordination will be required.

Desired Qualifications: Associate degree and two years of office, clerical or customer service related experience. Proficiency with FastBooks scheduling software. Cheerful, positive and optimistic work attitude.

$21,550 – $23,150
