Administrative Professional, Program Administration

QUALIFICATIONS

  • Bachelor's degree or appropriate certificate of training preferred.
  • Excellent human relations and communication skills required.
  • Excellent typing and proofreading skills.
  • Must be proficient with Microsoft Office.
  • Excellent professional etiquette, hospitality skills, and customer service skills required.

Working Relationships

Must maintain a good rapport with Meridian Technology Center staff as needed to carry out job requirements in a professional manner.

ESSENTIAL JOB FUNCTIONS

 

1.      Assist with scheduling substitute instructors, as needed for all Small Learning Communities.

2.      Serve as the first level of support for the Professional Services Small Learning Community staff and back-up support to other small learning communities.

3.      Maintain financial records for programs, including invoicing for Culinary Arts.

4.      Follow specific job responsibilities as indicated on the Calendar of Events for Program Administration document. Maintain and ensure the document is reviewed annually with the Directors of Instruction.

5.      Maintain orderly files. (Both electronic & hard copies.)

6.      Assist and communicate with all administrative professionals in the Program Administration area; making sure the office is covered at all times and take initiative to assist on projects as needed.

7.      Greet guests who come into the office (students, teachers, prospective students, parents, etc.) in a professional and welcoming manner. Direct phone calls, urgent messages and daily interoffice communications to appropriate staff.

8.      Answer telephone calls for the Directors of Instruction and other Program Administration staff as needed.

9.      Keep track of, organize and create meetings/appointments for the Directors of Instruction’s calendars.

10.  Produce correspondence (letters, invitations, agendas, minutes, etc.) and various reports, curriculum syllabi, requisitions as directed.

11.  Maintain a clean and orderly work space at all times. Including limiting time spent on personal communication devices, per policy P-353-A1.

12.  Research, prepare and book travel arrangements for staff when requested; following checklist for in-state and out-of-state travel procedures.

13.  Provide backup for checking out Meridian Technology Center fleet vehicles.

14.  Answer multi-line switchboard phone system for the Director of First Impressions as needed.

15.  Must be able to occasionally lift as much as 10 lbs. (copier paper and training materials.)

16.  Generate documentation throughout the year and keep track of the Oklahoma State Department of Education Accreditation onsite visit and paperwork for the final document.

17.  Prepare bus rosters for drivers and review student enrollment as needed for revisions.

18.  Serve as the Advanced Placement (AP) Coordinator for courses in the STEM Academy.

19.  Assist with maintaining professional development points for faculty.

20. Order kitchen supplies and employee beverages every month and restock refrigerator as needed.

21.  Attend staff meetings as requested.

22.  Order IT vouchers for students, including the vouchers for Short-Term Adult Education.

23.  Utilize work time efficiently Monday through Friday, 7:00 a.m. and 4:00 p.m. and report any exceptions to the Director of Instruction.

24.  Abide by all policies and procedures adopted by the MTC Board of Education.

25.  Promote Meridian Technology Center, its programs and employees at every available opportunity.

27.  Complete other duties, tasks or projects as requested by the Directors of Instruction or Superintendent/CEO.

 

Physical Demands:                               

 

This is largely a sedentary role; however, some filing is required. This would require the ability to lift files, open filing cabinets and bend or stand as necessary. Must be able to lift and/or push items occasionally on a dolly or cart weighing as much as 30 pounds.

 

Work Hours:

7 a.m. to 4 p.m. Monday - Friday

STANDARDS OF PERFORMANCE

The Administrative Professional, Program Administration, will be evaluated on the previously listed responsibilities based on Meridian Technology Center’s Performance Review Guidelines.  These evaluations will determine salary increases and career advancement possibilities.
